Full Time Personal Assistant in Beverly Hills
Must have a minimum of 3-5 years experience as a private PA for an UHNW or VIP family previously. Coordinating with the HM, Head of Security and junior PA and Senior Butler. Reporting to the HM/COS and the principals. Able to travel with the family and ahead to organize hotels and holidays but also for extended periods of time to other homes worldwide. (ex London up to or more than 3-4 weeks, multiple times a year). Be available to work at the property certain weekends, remain on call and able to work from home after hours and on weekends. This is a job for someone who Definitely has experience in managing the busy lifestyle of a HNW lady and her children, the job is very fast paced and demands a high level of commitment and is for someone who can manage upwards and take control of all details of life with little direction. Like a lifestyle manager working 30 days ahead of today and knowing the intricate detail of each day as it unravels.
Someone who has experience with HNWI families and has worked for a lady with children with only a busy private life to organize
Day to day responsibilities will include but not be limited to:
- Managing family’s schedules
- Extremely high volume of online ordering
- Managing health and beauty appointments for family
- Managing purchases, invoices and expenses
- Assisting with extensive & complex travel - experience with advance staff travel, jets, yachts etc.
- Managing children’s school activities and after school activities
- Events management & coordination
- Restaurant & leisure bookings
- Research into latest trends (fashion, toys, etc.)
- Managing inventories
- Maintaining contact lists
Day to day responsibilities will include but not be limited to: continued.
1) LIFESTYLE MANAGEMENT
Professionally represent the family in correspondence, coordination, research and planning.
Work closely and directly with the family to intimately understand and anticipate needs.
Build and maintain relationships and rapport with vendors, frequented establishments and associates of the family.
Maintain the family's calendar with details notes about appointments, contact information and directions.
Plan and execute small and large events with varying guest lists.
Shopping on behalf of the Family and in coordination with the family's stylists, action returns directly with the shops and online vendors, assist in the preparation and sale of clothes to second hand websites.
2) TRAVEL / LOGISTICS
Plan highly complex travel and coordinate and organize staff availability, meticulously oversee packing, prepare and maintain packing lists, on trips with frequent changes.
Work with local concierge to suggest and plan activities for the family while they travel.
Liaise with the family to prepare and maintain packing lists and personally carry out and coordinate packing for travel.
Maintain lists of items that should be stocked within the household.
3) ORGANISATION
Ship items globally, as needed.
Sell items no longer wanted or needed by the family.
Develop household inventories and stock levels
4) FINANCIAL
Maintain meticulous records of all spending provide this to Management and family accountants.
Carry out significant amount of on line shopping ensuring deliveries, presentation and returns of all items.
5) RECORDS
Work with the family’s doctors, schools, and service providers to prepare and maintain meticulous records of the family’s medical, educational and other records.
Work with the family’s stylists to maintain an inventory of the family’s clothing and jewelry and art when required.
The package is between 140-160K USD Salaried. Private Health insurance paid by employer 100% 10 days of PTO 6 days Sick pay 50 hour week on site at the residence. Out of hours availability and paid as overtime outside the 50 hours a week. Availability on weekends with days in lieu of paid time. Discretionary Bonus
