Full Time Home & Hospitality Manager in Austin, TX
The Home & Hospitality Manager (HHM) provides exceptional front-line hospitality services while supporting principal preferences in household, wellness, and guest services, across multiple properties guaranteeing a cohesive and consistent experience for all family members and guests across all residences.
The HHM interfaces directly with the Principals, their families, and guests, and serves as their key-point-of-contact in anticipation and execution of their personal service needs and real-time requests. This hybrid role also provides individual assistance, steward/butler responsibilities, and oversees traditional household services ensuring the level of services and interiors is consistent, reliable, organized, and efficient.
As the household quarterback, the HHM ensures that all homes are meticulously maintained, all is in proper working order, and logistical operations are running smoothly. House management responsibilities include a daily survey of the home and interiors of all dwellings and maintenance of established interior cleaning schedules, updating Principals & Guest Preference Logs, Household Manuals and Inventories, ensuring the household and property staff are well-coached in those protocols.
This role is a collaborative and hands-on position and will work closely with the Principal's estate manager, estate and family assistants, culinary team, nannies, housekeeping services, tech services, and security teams to help navigate families' residential stays including arrival and departure procedures, in-home stays, events and all other relevant logistics. The ideal candidate has high attention to detail, is structured and organized, and will have experience providing hands-on personal service in a fully staffed, significantly sized home with others to anticipate and be responsive to the family's needs. This position will report to the Estate Manager.
The family has residences in Texas, New York, and California. The position is based at families’ primary residence in Austin, Texas, and travels to the additional residences when needed an estimated three to 5 months out of the year.. Flexibility on days and hours will be required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Service Responsibilities - Anticipate and execute all of the Principal's real-time requests, including:
Personal and Concierge Services – Provide top-tier service to families and guests and support their activities. Oversee guest arrivals/departures, including special requests, food, laundry, sightseeing, bookings, Greeting of principals, guests and visitors, answering telephone, and taking messages, general mail and correspondence, liaise with Estate Assistant for mail and shipping.
Food and Beverage - Formal and semi-formal table setting/daily meal /tabletop set-up, meal service (formal & informal), and bartending services for family and guests. Constant collaboration with Chefs/Assistants to meet the family's changing daily calendar.
Wardrobe & Personal Items - Create and maintain accurate inventories, ensure proper closet organization, and provide skillful packing and unpacking services. Efficiently coordinate the dispatch and receipt of the Principal's clothing and personal items before arriving at their travel destination and/or to other residences.
Gifting - oversea all gifting, wrapping and stock items when necessary and ensure gifts are distributed also to other residences.
Travel Logistics - Collaborate with Assistants, Security, Culinary, and additional Estate Teams for logistics for travel, including packing luggage tracking, meal service, and special requests.
Seasonal Moves – Coordinate moves to other properties and ensure easy transitions between residences for both family and guests.
Technical Support - Oversee home meeting set-up, track subscriptions online accounts, collaborate with assistants and tech team members to troubleshoot, and ensure all house functions are in working order including appliances, AV/IT equipment and systems.
Event Logistics - Assistant in organizing and executing dinner parties and larger events in liaison with the admin team. Oversee food and beverage, table setting/service, décor, flowers, rentals. Coordinate additional staff and vendors as required. Supervise set-up and ensure the event's timelines are supported, including temperature, lighting, music, talent/guest speakers, etc.
House Manager Responsibilities - Core areas of focus include:
Daily Survey – Conduct a daily walkthrough of the home and the interiors of all dwellings to ensure that each residence has a consistent feel and that the team is aware of the Principal's preferences and daily schedules. Ensure that homes are meticulously prepared, in working order, and ready in advance of the Principal's arrival.
Housekeeping & Laundry - Collaborate with Estate Manager and Housekeeping to develop and maintain an interior cleaning schedule for regular and deep cleaning for all properties. Assist the housekeepers with specialty cleaning, general tidying, laundry requirements or household projects as required.
Documenting Standards - Create and maintain a Preference Log for Principals and Guests and, in conjunction with the household management team, create and maintain current household manuals.
Stocking & Inventory Control - Ensure that each residence is stocked with the Principal's desired toiletries, personal items, cleaning products, etc. Oversee inventory of household items, personal products, office supplies, linen closets, and storage areas and ensure all inventories are organized and current.
Traffic Control - Advice team on upcoming household activities, including events, guests, and timing of activities so that house operations can run as smoothly as possible. Supervise trades and contractors in liaison with Estate Manager
Purchases - Oversee all purchases necessary for the front of the house including all household products, furnishings, front of the house necessities, and seasonal/holiday décor, or any per principles request.
Guidance - Guide, train, and supervise other household staff to maintain the standards of the residence and ensure that principals preferences are adhered to at all times. Ensure all household protocols are followed.
Collectibles - Care for fine art, antiques, fine wine, cigars, and silver.
Pet and Child Care - Liaise and organize with family assistants, nannies and estate concierge daily activities regarding child and pet care.
Sports Inventory - Maintain all inventories and maintenance of various sporting and personal equipment. Execute special projects assigned by the Household management team.
QUALIFICATIONS
Education & Experience
A bachelor's degree and a minimum of 10+ years of relevant experience or equivalent education and experience providing home management and concierge service within a high-service, action-oriented private household environment with high accountability levels and proven experience supporting other household staff.
A formal education in the service and/or hospitality industry is preferred.
Experience in maintaining a private employer's confidentiality, safety, security, and privacy.
Must possess a strong work ethic and understand invisible service
Must possess excellent time management skills, be punctual, courteous, possess keen attention to detail and follow through on all tasks and projects assigned
Tech-savvy: complete comfort with all standard Mac computers and internet skills, including email; apps; calendaring programs; Microsoft Office suite (Word & Excel); project management/messaging tools; various online portals for scheduling; quick learner of new apps.
Must have experience supporting complex travel, hospitality, event, and entertaining requirements.
Must have a US Passport and the flexibility to travel nationally and internationally as required, minimum 3 to 5 months yearly.

Work location: This is a live-out position based in Austin, Texas, travel is required.
