About the Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a busy entrepreneur and family based in Manhattan Beach. This is a fast-paced, dynamic role that requires exceptional multitasking skills, judgment, and discretion. The ideal candidate thrives in an ever-changing environment and enjoys managing both professional and personal priorities seamlessly.

You will serve as the primary point of contact and right-hand support for the executive—handling a broad range of administrative, logistical, and coordination tasks to ensure the smooth running of business and family operations.

Key Responsibilities

  • Executive Support

    • Manage complex, high-volume calendars across multiple time zones, coordinating professional and personal appointments, travel, and meetings.

    • Prioritize and manage incoming communications, including email and calls, ensuring timely and appropriate follow-up.

    • Prepare and edit correspondence, reports, and presentation materials as needed.

    • Anticipate needs and proactively manage tasks to keep projects moving forward.

  • Travel & Logistics

    • Coordinate extensive domestic and international travel—including flights, accommodations, ground transportation, and itineraries for both business and family members.

    • Maintain travel documentation and ensure smooth transitions between locations.

  • Project Management

    • Support multiple professional ventures simultaneously, tracking progress, deadlines, and deliverables.

    • Liaise with partners, clients, vendors, and household staff to ensure clear communication and task completion.

  • Personal Assistance

    • Handle personal scheduling, errands, and household-related coordination as needed.

    • Manage family-related travel, appointments, and special events.

    • Provide general support with lifestyle management and organization.

  • Operations & Administration

    • Organize and maintain digital filing systems, expense reports, and receipts.

    • Support vendor management and payments in collaboration with accounting teams.

    • Maintain confidentiality and exercise sound judgment at all times.

Qualifications

  • 5+ years of experience supporting a C-level executive, entrepreneur, or family office.

  • Strong proficiency with Google Workspace, Microsoft Office Suite, and scheduling platforms (e.g., Calendly, Zoom).

  • Proven experience managing heavy calendars, multiple projects, and complex travel logistics.

  • Excellent written and verbal communication skills.

  • Ability to work independently, anticipate needs, and adapt quickly to change.

  • Must be highly organized, resourceful, and solution-oriented.

  • Comfortable working in a fast-paced, high-expectation environment.

  • Must maintain the highest level of confidentiality and professionalism.

Work Environment

  • Mostly remote, with occasional in-person meetings or local errands in the Manhattan Beach area.

  • Must be available during Pacific Time business hours and occasionally outside regular hours for travel or urgent matters.
