Executive Personal/Family Assistant in Holmby Hills & West Hollywood
We are seeking a highly reliable, proactive, and organized Executive Personal/Family Assistant to support a busy CEO and her family in Holmby Hills (with an office in West Hollywood). This is a hybrid role that blends personal assistance, childcare logistics, and administrative support. The schedule is Mon-Fri, approx 9am-6pm. The ideal candidate is adaptable, polished, discreet, and thrives in a fast-paced environment.
Key Responsibilities:
Personal Assistance & Administrative Support
Act as a trusted right hand to the CEO for day-to-day personal needs
Assist with outfit planning and styling, including: preparing outfits for meetings, events, and daily schedules; building and packing outfits for trips; and organizing clothing and coordinating travel looks
Handle personal errands such as: returns and exchanges; coffee runs and food pickup (breakfast/lunch); last-minute shopping or supply runs; and serve as a runner for time-sensitive tasks and deliveries
Perform simple administrative tasks
Transportation & Driving
Drive the CEO using her car to and from meetings, the office, home, appointments and other destinations as needed
Provide safe, punctual transportation using your own car (mileage reimbursed) for two children to and from school, activities, appointments, and playdates
Maintain cleanliness and basic organization of the vehicle used for transport (if applicable)
Childcare & School Support
Coordinate and manage children’s schedules and afterschool activities
Support with afterschool transitions (pickup, snacks, activities, etc.)
Assist with school-related administrative tasks, including: coordinating school lunches throughout the year; handling forms, sign-ups, and communication; and supporting school event logistics (as needed)
Qualifications:
Prior experience in a similar role (Personal Assistant, Family Assistant, Nanny, or Hybrid role)
Strong organizational skills and ability to multitask
Excellent time management and punctuality
Comfortable driving daily and navigating schedules efficiently
Trustworthy, discreet, and professional with high confidentiality
Comfortable working in a dynamic, fast-paced environment with changing priorities
Warm, responsible, and confident with children
Preferred Qualifications:
Experience supporting a high-level executive or high-profile household
Comfortable assisting with packing, travel prep, and styling
Familiar with school systems, forms, and childcare logistics
CPR/First Aid certified (or willing to obtain)
Spanish speaking preferred
Requirements:
Valid driver’s license and clean driving record
Reliable transportation
Ability to lift light items, carry bags, assist with packing, etc.
Flexibility to travel both domestically and internationally
Team player (family has a House Manager and two live-in Nanny/Housekeepers)
Salary: DOE + excellent benefits
